CPD Event Registration in the System: How to Pass the Administrator’s Review on the First Attempt

Based on the experience of our law firm, we know that the stage of organizing and approving CPD events is often the main source of risk for providers.

It is important to remember that preparation for the event must begin in advance. No later than 20 business days before the event starts, the provider is required to create an Event Card in the electronic account of the CPD system. This is the key document on the basis of which the decision on event registration is made.

At this stage, it is not enough simply to enter the data. The provider must also ensure that all information is complete and legally accurate, confirming that the event complies with the requirements of the law. The Event Card must include:

  • the title and purpose of the training, which must clearly correspond to each other;
  • the target audience, according to the official list of medical specialties;
  • the event format: in-person, remote, or mixed;
  • the start and end dates;
  • the event language and a direct link to the event page;
  • the number of CPD points planned to be awarded to participants.

The Event Card must also include the résumés of lecturers, trainers, or speakers, as well as the event program approved by the provider. It is important that the speaker’s professional experience, as stated in the resume, directly corresponds to the topic of their presentation.

Special Requirements for Large CPD Events

For symposiums, conventions, congresses, scientific conferences, and scientific-practical conferences, an expanded scope of information must be submitted for registration. In addition, the provider must submit:

  • a description of the level of knowledge and competencies required for participation;
  • information about the event venue or the format of online participation;
  • details of the organizing committee and the decision on its establishment.

For each speaker, information on their education and professional experience must be provided, and their résumé must be uploaded as a separate file.

CPD Event Review and Registration: How to Obtain an Official Number

After the Event Card is submitted, the administrator of the CPD system reviews the information for completeness and compliance with the established requirements. Based on the review results, the event registration is either confirmed or rejected, with the reasons for rejection provided.

At this stage, the provider may face the most serious consequences, which can put the training event at risk:

  • refusal to register the event, with uncertain timelines for resubmission;
  • a request to provide additional documents or detailed explanations;
  • delays in approval, which may effectively disrupt the planned organizational schedule and the announced event dates.

If the event is confirmed in the CPD system, it is automatically assigned a registration number. This is a mandatory condition for the legitimacy of the training and the subsequent awarding of CPD points to participants.

Please note! Each CPD event is subject to separate registration, regardless of whether it is held as part of a series or an educational program. Information about each event for which points are awarded must be published separately on the provider’s official website.

What Documents Must Be Prepared for Holding a CPD Event

Holding CPD events is impossible without a properly prepared documentary framework. These documents confirm compliance with the requirements of the CPD system and serve as the basis for awarding points to participants. If internal orders on holding the event form its legal framework, the reporting documentation becomes the final proof of its legitimacy for the administrator.

Documents Prepared Before the Event: Planning Stage

These documents are either uploaded to the system or prepared as part of the provider’s internal documentation:

  • Resumes of lecturers/trainers: these should not be merely a description of the speaker’s career, but confirmation of their expertise specifically in the topic of the presentation. Important: the speaker’s professional experience must correlate with the list of specialties of the participants.
  • Event program: approved by the head of the provider. It must contain a clear schedule, including breaks and time allocated for testing.
  • Knowledge assessment materials: tests, case studies, or control questions. The CPD system requires mandatory assessment of participants’ mastery of the material in electronic format.

Documents Prepared AFTER the Event (Reporting Stage)

After the event is completed, you have only 20 business days to close the reporting process. Missing this deadline results in participants automatically not receiving their CPD points, with no right of appeal. The reporting package includes:

  • Participant register: the actual list of individuals who attended the event. For offline events, this must include signatures; for online events, it must include platform login and logout logs.
  • Report on assessment results: statistics showing how many participants successfully passed the test.
  • Educational materials: copies of presentations or video recordings of lectures confirming that the topic delivered corresponds to the one declared.
  • Copies of issued certificates or a register of their numbers.

However, having properly prepared documents is only half the job. It is equally important that every action taken during the training strictly corresponds to what was recorded in the documents.

Requirements for Holding CPD Events and Recording Participation

After the event has been approved in the CPD system, the provider is required to hold it in accordance with the approved program and comply with the requirements for recording participants’ attendance.

Any significant deviations from the approved Event Card, such as changing the format, reducing the duration, or replacing lecturers without proper documentation, may be treated as a violation of the event approval conditions. This may result in a refusal to award CPD points and create a risk that the certificates will not be recognized.

Therefore, all organizational decisions must correspond to the information previously entered into the CPD system or be updated in a timely manner in accordance with the established procedure.

Requirements for CPD Certificates

CPD certificates are issued only to individuals who have properly confirmed their participation in the event and fulfilled all training requirements. The certificate must contain the following mandatory details:

  • full name of the provider;
  • title of the event;
  • registration number of the CPD event;
  • number of points awarded;
  • date of the event;
  • participant’s surname, first name, and patronymic;
  • information about the event format.

Issuing certificates without proper verification of participation or with technical errors in the required details makes it impossible for such documents to be recognized by the administrator of the CPD system, the Testing Center of the Ministry of Health.

Let us remind you once again that after the event is completed, the provider must submit the reporting information. Only after these materials are reviewed do the issued certificates become valid. This is a mandatory stage, without which the process of awarding points remains incomplete.
